OLARIS PRIVACY POLICY

The objective of this Privacy Policy is to describe to patients and clinicians how Olaris manages and processes personal and health-related data of which you freely provide to us. We also describe in this Privacy Policy why we process personal information, with whom we share personal information, and our obligations regarding personal information.

By accessing or using the Olaris website (referred to as “the Site”), you agree that you have read, understood and accept the terms of this Agreement.

 

The Olaris website does not provide medical advice. All material is for informational purpose only.

All of the material provided on the Olaris website, such as text, treatments, dosages, outcomes, charts, graphics, images, links to research papers, and any other material provided on the Site are for informational purposes only and are not a substitute for professional medical advice or treatment. Always seek the advice of your physician or other qualified health provider with any questions you may have regarding your health. Never disregard professional medical advice or delay in seeking it because of something you have read on this Site.

Patient Participation

By submitting your data you agree you are either a (a) diagnosed patient or a parent or legal guardian acting for such a patient who is under 18 years of age or incapacitated, (b) caregiver for a patient, or a (c) health care professional (e.g. doctor, nurse, health researcher, etc.).

Children under the age of 13 are prohibited from submitting data.

What personal information do we gather from you on our websites, via email, or from our discussions with you on the phone?

Olaris captures and processes volunteered personal information as well as volunteered information pertaining to personal health and physiology through our Site. In addition, any other information provided over the phone or via email, for example, discussions, surveys, support requests, privacy requests, etc. may contain personal information and this data is gathered by our system and stored for processing so as to support our health-related mission, customer support, and our other business operations and processes. If you use the Site, we do capture visitors’ IP addresses. This will allow us to provide certain occasional geographical-based messages depending on the visitor’s member state. A location and IP address may also allow us to know which language to translate our website into for reading ease.

 

Why do we process your personal information?

Olaris processes volunteered personal information and personal health-related information, including biomarker information and data concerning health, in aggregate with other patients’ and clinicians’ information, to understand the effectiveness of certain medical treatments vis-à-vis an individual patient’s molecular makeup. Olaris gathers an individual’s health-related information, volunteered by the patient through our portal, and then aggregates individuals’ information to conduct mathematical, machine learning and analytical research so as to better understand how medical treatments for specific diseases and conditions may be improved. We do not process personal or health-related information to provide specific advice, diagnosis, or treatment to an individual. 

 

In addition, we do use personal information to conduct communications activities and to make you aware of our different services. We process IP address to determine the approximate geographic location of our visitors. We also use a portal visitor’s location to determine which language to render our website in to them. We may process an individual’s movements within our website so as to better understand how to optimize our web environment for the future and to make it more user friendly. We may also process an individual’s movements on our website to present other information areas of which they may be interested, as well.

If an individual has provided any information via surveys, feed-back or support forms on our website, we store and process that personal information, as well. For example, if an individual completes a survey or feedback form, we will aggregate results from the surveys or feedback pages to better understand how we can improve our business processes, customer services, or web environment.

Occasionally and depending on the information provided to us, we may reach out to a specific individual using their contact information, to gather further data or input from them.  You may opt-out of any or all of these activities at any time by emailing us at privacy@olaristherapeutics.com.

 

We will not process personal information for other reasons than those listed except for reasons related to public, governmental, compliance-related, statutory, legal claims, medical care, personal emergencies or other legitimate interests or obligations placed on our organization by valid, external parties.

 

Who do we share your personal data with?

We share our patients’ personal and health-related information with partner companies that assist us in processing and analyzing their information to support our research mission. These third-party companies may be located inside and outside of the EU and ECC, including the United States.

We also provide an individual’s information, gathered from our website, to a web analytics company that helps us better understand and plan for our web design approaches, such as email campaigns to you, and designs for our website. Each of these vendors processes personal information on our behalf. Olaris takes our privacy and security pledge seriously and so do the companies that we work with in these matters. Regarding cookies and other web tracking technologies

Olaris uses web visitor tracking technologies on its websites to support marketing and usability activities. These technologies include cookies that are downloaded to our visitors’ devices, including persistent cookies, and web analytics tools, for example Google Analytics and our own in-house analytical tools. We may also track which site referred an individual to our site or linked them to our site. The purpose for using these technologies is to help us better understand how individuals are using our site so that we can improve our sites’ usability and capabilities.

 

How long do we store your personal data for?

Personal and health-related information is processed in our systems indefinitely. We need to keep this information in our systems indefinitely as it is used to identify biomarkers over long-terms that can be used to detect disease earlier and optimize therapies.  Due to the nature and limits of our technology, personal and health-related information may remain on our backup and disaster recovery systems indefinitely, as well.

Note: we may change this depending on the records retention approach.

 

How do we secure your personal and health-related information?

Olaris understands that the security of the data provided to us by those that volunteer it is critical. Olaris encrypts all personal and health-related information. We significantly limit access to personal data to only those that explicitly require it to perform their roles. We analyze the data using random Patient ID’s assigned to each patient record, not their names or other personal information that could identify them or their locations. Our third party partners are contractually obligated to limit the processing and access of personal data to specific, legitimate activities, to secure the data using industry-standard practices, such as encryption by Olaris management to ensure compliance.

 

Can you request to see what personal information Olaris stores about you? And can you modify if it is incorrect?

Absolutely. Of course, we have to confirm your identity first prior to providing access to your personal information. Once that confirmation process has been completed, we will be happy to share the information that we have about you. Please contact us at privacy@olaristherapeutics.com.

 

Can you ask Olaris to delete your personal information? Or halt processing of that information about you?

Yes, Olaris can delete the data that provided to us, upon a valid request. We can also halt the processing of personal data, as well.

Please contact us at privacy@olaristherapeutics.com with your request; we will also need to positively verify your identification prior to taking any action on your request in this matter. Note that our backup and disaster recovery systems may store some of your personal information indefinitely and full erasure may not be possible due to the limitations of these technologies.

 

Information for non-US users

Olaris is a US-based company and many of its computer systems reside in the United States. Therefore, the information contributed into our Olaris portal, including the health-related information and biomarker information provided to us, is onward transferred to the United States for processing and storage. Our objective is to provide adequate and consistent safeguards of personal information consistent within Directive 94/46/EC (“The Directive”) and, upon its repeal, within the General Data Protection Regulation (“GDPR”). You are granted a number of rights under GDPR regulation regarding how Olaris processes your personal information. If you wish to raise a complaint with us regarding how we have handled your personal data, you can email us at privacy@olaristherapeutics.com. You will receive a response from them within 10 business days. If you are unsatisfied with our response, you may file an appeal with us and we will investigate your matter.

 

Modifications to this Agreement

We reserve the right to modify this Agreement at any time, and without prior notice, by posting amended terms on this Site. We encourage you to review this Agreement periodically for any updates or changes, which will have an update effective date.
